Privacy policy
So Productive Pty Ltd, trading as SoProductive (SoProductive, we, us), respects your privacy. This policy explains how we handle personal information in connection with this website and our business dealings, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. What this policy covers
This policy covers personal information we collect through soproductive.com.au and in the course of dealing with clients, prospective clients, workshop attendees and other contacts.
It does not cover the business knowledge or documents you give us as part of an AI Brain or other engagement. Where we work with a client, the handling of that client’s business information is governed by the services agreement or statement of work between SoProductive and that client. In that relationship the client is generally the controller of its own information, and we act on its instructions. 2. Information we collect
Information you give us
When you complete the contact form on this site, we collect:
- your name and email address;
- your business name and approximate company size;
- what you’d like help with (for example AI Brain, process documentation, workshops or automation); and
- anything else you choose to write in the message field.
If you use the free diagnostic tool and choose to email yourself a copy of your results, we collect the email address you provide for that purpose. If you don’t opt in, your answers and results stay in your browser and are never sent to us.
We also collect personal information you give us directly: by email, in meetings, at events, or through LinkedIn.
Information collected automatically
This site is served as static pages by Vercel. Our hosting provider records standard server logs, which may include your IP address, browser type and the pages you requested, for security and reliability purposes. Vercel operates a global network, so those logs may be handled outside Australia.
We do not use advertising or tracking cookies. The contact form and diagnostic tool are handled by Formspree, a third-party form service; see section 4 below.
The site loads typefaces from Google Fonts. Doing so discloses your IP address to Google. If you would prefer to avoid this, most browsers allow you to block third-party requests.
3. Why we collect it
We use personal information to:
- respond to your enquiry and follow up about it;
- provide, support and improve our services;
- manage our relationship with your business;
- send you material you have asked for, such as diagnostic results or guides; and
- meet our legal and record-keeping obligations.
We do not sell personal information, and we do not use it for advertising.
4. Who we disclose it to
We may disclose personal information to:
- Service providers who help us operate, including Vercel (website hosting) and Formspree (contact and diagnostic form handling), as well as email and document storage;
- our professional advisers, where they need it to advise us; and
- anyone else with your consent, or where the law requires it.
5. Overseas disclosure
Some of the providers we rely on for this website are located outside Australia, or store or process information outside Australia. Where we disclose personal information overseas we take reasonable steps under APP 8 to ensure it is handled consistently with the Australian Privacy Principles.
If you would like to know which countries your information may be held in for a particular service, please contact us using the details below and we will tell you.
Client engagement data. Where an engagement involves building your AI Brain or connecting your business knowledge to an AI tool, the specific platforms used and where that data is processed are set out in your services agreement, not this policy. We do not use client business information, or information collected through this website, to train any AI model.
6. Automated decision-making
We do not use automated decision-making to make decisions about you through this website. The free diagnostic tool computes a self-assessment score in your browser, for your own reference. It does not make or recommend any decision about you, and no automated decision follows from it.
7. Keeping information secure
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. No system is perfectly secure, and we cannot guarantee the security of information transmitted over the internet.
We destroy or de-identify personal information when we no longer need it and are not required to keep it.
If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
8. Accessing and correcting your information
You may ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details below. We will respond within a reasonable period, and will explain our reasons if we refuse.
9. Complaints
If you think we have breached the APPs, please tell us first using the details below and we will investigate and respond in writing. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner: oaic.gov.au, or 1300 363 992.
10. Changes to this policy
We may update this policy from time to time. The current version is always available on this page, with the date it was last updated shown at the top.
